Do we disclose any information to outside parties?
We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect ours or others rights, property, or safety. However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.
What information do we collect?
We collect information from you when you subscribe to our newsletter, respond to a survey, or fill out a form. When registering on our site, as appropriate, you may be asked to enter your: name, e-mail address, mailing address, phone number or credit card information. You may, however, visit our site anonymously.

Photo Policy
The Carolina Farm Stewardship Association (CFSA) uses photography, photographic images, names, audio recordings, and video recordings of people in our community for non-profit purposes including, but not limited to:
- Website
- Social media posts
- Program evaluation
- Research publications
- Marketing, including advertising or promotional material
- Podcasts
- Media articles
- Fundraising campaigns
- Membership campaigns
- Annual report
Our community includes our members, event and workshop attendee, farm tour hosts and attendees, technical assistance clients, program partners, event speakers and sponsors, and staff.
We strive to respect the privacy and wishes of our community members when it comes to photography use, and therefore, we’ve developed a twofold policy governing photography: opt-ins and opt-outs.
- Under the scenarios for opt-ins – CFSA will ask you to complete an opt-in form (media release) to document your permission.
- Under scenarios for opt-outs – CFSA will ask for your cooperation in completing the steps required for opting out of photography.
When We’ll Ask You to Opt-In
Scenarios: Photography of your farm or business, campaign photography
Photography of Your Farm/Business: If CFSA is sponsoring an event at your farm/business, like a tour or workshop, or visiting your farm to provide technical assistance, we will ask your permission to photograph, or permission to flag the photography as appropriate for media use (we may take photography in the course of technical assistance but won’t use it publicly without an opt-in form). You don’t need to complete an opt-out form if you wish to withhold permission (though you can).
Campaign Photography: If you’re participating in a CFSA campaign by submitting your own photography or contracting with CFSA to allow photography at your farm/business, we’ll ask you to complete a media release and sign an additional contract if we’re paying you for photography. Please note that paid photography permissions cannot be revoked.
In these scenarios, we’ll ask you to complete CFSA Photography Opt-In: Media Release & Authorization Form.
When We’ll Ask You to Opt-Out
Scenarios: event photography, workshop photography, conference photography
Your presence at CFSA-sponsored events constitutes your consent to the capture and/or use of your image and/or voice by CFSA, and waives any claims or rights, whether in law or in equity, unless you opt out.
If photography is taken by a CFSA-sponsored photographer at an event (including farm tour, conference, workshop, or other public event), and you wish to withhold permission, you must complete the three following steps:
- Remove yourself from the area in which photographing/recording is occurring, and politely notify the photographer of your Opt-Out status. Failure to do so may result in your inclusion in a photograph or recording; it will be deemed equivalent to a release, and will allow CFSA to use that photograph or recording as it chooses.
- Complete and submit the CFSA Photography Opt-Out Form with a photo upload. Please note that submission of the form will cover any subsequent use of your image after the submission date.
- For added assurance, if you’re willing to send us a photo for comparison, CFSA will double-check photographs scheduled for use in publications. The photograph is stored in an encrypted survey software via the opt-out form.
We take your preferences seriously and will do our absolute best to honor them. That said, mistakes happen. If we messed up, please let us know.
CFSA Responsibilities
- We will do our best to make sponsored photographers clearly identifiable (i.e., wearing brightly-colored vests that are labeled ‘photographer,’ announced to groups at the introduction of smaller events).
- We will work with photographers who uphold our photo policy.
- We will make paper copy opt-out forms available at events, and follow up with opt-outs for a photo upload.
- We will maintain an accurate database of opt-outs and opt-ins.
- We will honor changes to opt-in and opt-out status on subsequent publications when notified in writing: Carolina Farm Stewardship Association, P.O. Box 448, Pittsboro, NC, 27312.

Terms & Conditions
The following Registration Terms & Conditions (the “Terms & Conditions”) apply to all Carolina Farm Stewardship Association (CFSA) events. You should read this document carefully.
Acceptance of Policies and Registration Conditions
Prior to your registration, you must acknowledge and accept the Terms & Conditions contained herein. Regardless of whether your registration is submitted by you or your proxy, the following Terms & Conditions apply to you and your participation at any CFSA event. If you are registering on behalf of another person, it is your responsibility to ensure that the person attending is aware of these Terms & Conditions and accepts them, and by completing the registration you are warranting that you have made the attendee aware of these Terms & Conditions and that they have accepted them.
Should you not wish to accept the Terms & Conditions you should not register. Submission of registration and/or attendance is regarded as an affirmation of the registered party’s acceptance of the Terms & Conditions.

Photo Policy

Event Conduct and Safety
CFSA is committed to providing a safe, productive, and welcoming environment to all participants, including staff and vendors, at CFSA-related events. CFSA has no tolerance for discrimination, harassment, abuse, or bullying in any form at CFSA-related events. Participants are expected to adhere to these principles and respect the rights of others.
Participants may be asked to leave without refund if they impair CFSA’s ability to conduct a safe and productive event.
Public Health
All in-person event participants must:
- Stay home if sick.
- Participants must, at minimum, adhere to any state and/or local government public health requirements for mask-wearing, social distancing, testing, and/or vaccination requirements.
- For on-farm events, participants must strictly follow any biosecurity protocols required (i.e., utilize handwashing stations, foot powder trays, etc.)
CFSA and participating farms or venues reserve the right to impose additional safety measures at any time. By consenting to these terms & conditions, you agree to abide by these measures as presented at the time of your participation.
Liability Waiver and Release
In consideration of being allowed to register for the event, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue CFSA or its members, employees, board members, agents, event partners/sponsors, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, including but not limited to COVID-19, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of CFSA. This Liability Waiver and Release is specifically binding upon your heirs and assigns and is knowingly given.
Attendee Cancellation
- Conference Cancellation Policy – Registrants must submit their notice of cancellation in writing to [email protected] no later than two weeks prior to the event for a 50% refund, less a 10% administration and processing fee. Requests made three or more weeks prior to the events are eligible for a full refund, less a 10% administration and processing fee.
- All Other Events (i.e., Farm Tours and Workshops) – Registrants must submit their notice of cancellation in writing to [email protected] no later than one week before the event for a full refund of registration fees, less a 10% administration and processing fee.
In the event you cannot attend an event you have registered for due to unforeseen circumstances beyond your control and the deadline for a full refund has passed, please contact CFSA. Examples may include but are not limited to natural disasters or family emergency.
CFSA Cancellation
Should CFSA be unable to conduct the event as a result of Force Majeure, CFSA shall make reasonable efforts to either (a) reschedule the event; or (b) make necessary changes to the format of the event that would allow it to take place within the originally scheduled times. If CFSA is unable to reschedule or make necessary changes to the event, it shall provide either a refund of registration fees or a credit toward the registrant’s participation in a future event, if possible. CFSA will determine the most appropriate method of recommendation.
“Force Majeure” shall mean circumstances that are beyond our reasonable control and are likely to make it inadvisable, illegal, impractical, or impossible to host the event or perform our obligations under these Terms & Conditions.
Payment Terms
The payment of the applicable fee(s) for any CFSA event is due upon registration. If such payment is insufficient or declined for any reason, CFSA may refuse to admit you to the event and shall have no liability in that regard. Invoiced registrations are due at the time of invoice and before the event date.
General
CFSA reserves the right to change, amend, add or remove any of the above Terms & Conditions at its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining conditions will continue to be valid and apply. Any changes or amendments to these Terms & Conditions will be made available to existing registrants but shall not require further consent. These Terms & Conditions apply to all event participants (including but not limited to: attendees, speakers, sponsors, exhibitors).
The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of CFSA. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.
